Users & roles

Invite your team into a shared EmailFlow AI account so you can build, send, and report together. The number of seats is set by your plan, and each member signs in with their own login.

Team seats by plan

Every plan includes at least one user, and higher tiers add more seats — from a solo Free account up to large teams on Pro and up to 80 members on Enterprise. Check your seat count under Plans & quotas; if you need more people than your plan allows, upgrading raises the limit.

Inviting teammates

  1. Open the users section of your account settings.
  2. Invite a teammate by email.
  3. They accept and set up their own credentials.
  4. They now share your account's lists, templates, campaigns, and reports.

Why a shared account helps

Working in one account means your brand profile, assets, lists, and templates are shared by everyone — no duplicated work, no inconsistent branding. A designer can build an email, a marketer can set up the campaign, and a manager can review the reports, all in the same place.

Give each person their own login rather than sharing one. Individual accounts keep activity clear and make it easy to add or remove access as your team changes.

Managing access

As your team evolves, add new members up to your plan's seat limit and remove people who no longer need access. Keeping your user list current is good hygiene — it ensures only the right people can send on behalf of your brand.

Frequently asked questions

How many people can I invite? It depends on your plan — higher tiers include more team members. You can see your seat allowance on the pricing page.

Can I limit what teammates can do? Yes. Roles let you decide who can send campaigns, edit automations, or manage billing, so collaborators get exactly the access they need and nothing more.

What if someone leaves? Remove their access at any time. Their account is revoked immediately while the campaigns, automations, and contacts they created stay with your organization.

Why use roles instead of sharing one login? Individual accounts mean every action is attributable, access can be tuned per person, and you can revoke one teammate without disrupting everyone else — far safer than a shared password and essential as your team grows.
